Rostered Duties

  • Sergeant

    Ensure that stewards are on the job and will complete setting up the meeting room prior to commencement of meeting.
    Check that enough seating etc is available, especially if more are in attendance than are being catered for.
    Ring bell 5 minutes prior to meeting commencement.
    When requested by the President conduct the fines session.
    At the end of the meeting check that stewards complete removal and storage of decorations.
  • Directors

    Prior to meeting advise the President if you have a report to present.
  • Members

    Arrive at 7.15AM to share in club fellowship.
    Turn off all mobile phones.
    If you have to leave before the end of the meeting advise the President so that the guest speaker can be warned.
    Remain seated during guest speaker presentation.
  • Registration

    Collect breakfast fees and record members on the attendance sheet.
    Issue “Make-up” cards to Rotarians.
    Issue name cards to club or member visitors
    Complete all registration details before meeting commences and give one copy to the President and one copy to the Treasurer together with received money.
  • Stewards

    Provide competition prize.
    Provide Speaker's thank you package.
    Set up any speaker aids requested by guest speaker.
    Return all meeting decorations to storage after the meeting
    Prepare meeting place before meeting commences as follows:
    banners, flags (3) charter, lectern, gavel, bell, song books, fines box, name badges and Presidential chain.

  • Host

    Welcome all club members and guests and issue name badges.
    Ensure all visitors are looked after by a club member for the duration of the meeting.
  • Chairman

    Welcome and entertain guest speaker during fellowship.
    Explain meeting procedure to speaker.
    Obtain from speaker sufficient details for use in introduction.
    At the appointed time introduce the speaker to the meeting.
    At the end of the speaker's presentation ask for questions, but restrict number to ensure that the meeting does not exceed normal finishing time.
    Thank speaker and make presentation.
